Before the van arrives
Make the venue part of the production plan.
A mobile control room is useful only when the site, signal, crew, and destination fit together. Bring what you know; mark the unknowns. The written scope should resolve these five handoffs before the show, not leave them to load-in day.

Where can the van park, when can it load in and strike, and who can approve the position?

Which source and circuit can the production use, and who can confirm its capacity and access?

Where are the cameras and house-audio handoff, and what cable routes will the venue permit?

Before the quote

The van changes the room only when its parking, cable path, power, people, and outputs are designed with the venue.

Identify the venue, parking position, power, weather exposure, and the route for camera and audio feeds. Unknowns can be marked for a site review.

The operating mode
Decide whether LUCA supplies the show crew or your team operates a rented van. That changes the responsibilities in the quote.

The outputs
List the program feed, graphics, recording, and stream destinations the job requires. Tell us who supplies venue internet or another path out.
What gets scoped
Van configuration, crew mode, site access, signal paths, travel, and dates are quoted together. The vehicle is a control-room option, not a promise that every venue is ready for it.
Before you choose
Questions worth settling before you book.
- How do we know the van fits our venue?
- Check parking and access, vehicle position, cable distance, power, weather protection, loading schedule, and the path from cameras and audio to the control room. Unknowns should trigger a site review before the production plan is finalized.
- Can our crew operate the van?
- The van can be scoped with a LUCA crew or as a rental. The proposal must identify who directs, switches, mixes, records, maintains the signal path, and handles setup and strike in either mode.
- Which feeds and recordings can leave the van?
- List the program feed, graphics, audio mix, recording, stream destination, and any isolated camera feeds you need. The actual outputs depend on the agreed configuration and what the venue can supply.
- Does the van solve a weak venue internet connection?
- It provides a control-room workflow, not a guaranteed network. Name the primary and fallback connection, platform account, test window, and owner of each path before the show.
