A photography brief in its own right
Cover the event. Know what the images are for.
Standalone corporate event coverage and photography alongside a LUCA production both start with the audience, priority moments, permitted uses, and delivery plan.
- 01
Conference and convention
Organizers, sponsors, speakers, and attendees who need different proof from the same event.
- Bring to the brief
- Map keynotes, breakouts, booths, networking, sponsor obligations, room access, and the person who can change priorities on site.
- Define the delivery
- Scope the must-have moments, image selection, approved sharing channels, and whether any early selects need a separate editor.
- 02
Awards and gala
An event team that needs stage moments, honorees, atmosphere, and sponsor recognition without missing the program.
- Bring to the brief
- Share the run of show, stage access, awards order, VIP permissions, lighting constraints, and any step-and-repeat needs.
- Define the delivery
- Agree how stage, room, portraits-in-context, and sponsor images are prioritized and when each group will be delivered.
- 03
Launch and brand activation
Marketing and press teams who need usable product, audience, and experience images across planned channels.
- Bring to the brief
- Name the reveal moments, demos, brand rules, venue restrictions, intended publishers, and approval owner.
- Define the delivery
- Define product detail, human interaction, press-ready selects, permitted use, and the review path before publication.
- 04
Leadership and internal event
Communications teams documenting a town hall, executive appearance, or employee milestone for a defined audience.
- Bring to the brief
- Identify confidential segments, speakers, employee permissions, internal and external channels, and images that must not be published.
- Define the delivery
- Separate private recap imagery from any cleared public selects, with access and approval responsibilities in the scope.
Event stills
The event is the brief. The images have a job.
The day
- The moments the brand needs, in the light that is there
- Priority selects and full-gallery timing defined before coverage
- Standalone corporate event coverage or a coordinated LUCA production
Corporate Event Stills: the practical distinction
What changes when this work is done here.
A gallery with no plan for where the images go next.
Coverage, selects, usage, and delivery defined for the event.
The workflow
How event stills are covered
- 01The roomA conference, a gala, or a leader. The day, covered so you can share it.
- 02The coverageThe moments the organization needs, with access and on-site decisions planned around the run of show.
- 03The deliverySelection, editing, approval, formats, and timing are agreed for the intended use.
- 04The lineA standalone corporate event is a photography brief in its own right; portraits, weddings, and studio sessions are different jobs.
Before the quote
Know which moments must leave the room.
Corporate event stills are planned for the way the organization will use them, not only for a gallery after the event.
- 01
The run of show
Share the agenda, speakers, sponsor moments, and people who cannot be missed. A short priority list is more useful than a long generic shot list.
- 02
The destination
Tell us if images are for a same-day update, internal recap, press, sponsors, or a later campaign. Timing and formats should match the use.
- 03
The production fit
Corporate event photography can be scoped as its own job or coordinated with LUCA film and live production. Tell us which path you need; a separate portrait, wedding, or studio session is a different brief.
What gets scoped
Coverage hours, priority moments, edit/select needs, usage, and delivery timing are confirmed in the event scope; no instant turnaround is implied.
Before you choose
Questions worth settling before you book.
- Can we book event stills without a LUCA production?
- Yes, request standalone corporate event coverage. Send the event type, location, dates, run of show, intended use, and delivery needs so availability and scope can be checked. A contact inquiry is not a confirmed booking; portrait studio sessions and weddings are separate work.
- Can we receive images during the event?
- If same-day images matter, identify the deadline, priority moments, selection approver, and delivery channel before the event. Coverage and rapid editing need to be staffed and quoted together; they are not an implied add-on.
- May our sponsors and speakers reuse the photographs?
- State every intended user and channel in the brief. The written scope should set image usage, credit, third-party distribution, and any needed permissions. Do not assume a gallery link grants every sponsor unrestricted rights.
- How do we avoid missing the important moments?
- Share the run of show, access rules, speaker and sponsor priorities, and a single person who can resolve changes on site. Put the must-have moments ahead of a generic shot list.
- What exactly will be delivered, and when?
- Agree the coverage hours, priority selects, edit level, gallery or file format, approval path, and delivery windows in the written scope. Same-day selects and a full edited gallery are different deliverables; neither timing nor image count should be assumed from this page.
